New Features
Bulk Discontinue Audits | Audit Management
Previously an administrator could approve audits in bulk from the Audit search page. We have now added the ability for admins to also discontinue audits in bulk to save time instead of discontinuing one by one.
Adding Processes to a Case | Case Management
We have added the ability for a user to create processes for cases. A process is a series of events that can be added to a case. The functionality is aligned with how processes are set up for complaints.
Feature Improvements
Consultant List | Consultations
When adding a new consultation, the dropdown list of potential consultants is now filtered down to only admins with access to the consultations module.
Registrant Number | Registrant Portal
We have updated the Active Permit widget that appears in the registrant portal to now include the registrant number. Prior to this, a registrant would need to either download their license or open up a profile update to view their registrant number.
Queries on the Register Change Page | Register Change
We have added query functionality to the Register Change page. At the moment, there is one query that returns all changes, but next month we plan to add more queries. This functionality also opens up the door for custom queries to be added as needed.
Show Designation on in-progress forms | Registrant Portal
If a database is using the Designations feature and a registrant has more than one designation, then they potentially have the opportunity to open up a renewal process for each license type and have both in-progress at the same time. What we have added is wording to help differentiate which workflow is which when viewing them both on the registrant dashboard.
Bug Fixes
Exports not tied to a data source | Database Management
Previously, exports that were not linked to a data source, such as email PDF archives, were only accessible to administrators with the System Administrator permission enabled. This has now been updated so that any administrator with export access can also view exports that are not tied to a data source.
Applicant register as default inactive register | Admin
A new rule has been implemented to prevent administrators from designating the Applicant register as their default inactive practice register. This change is necessary because using the Applicant register as the default could create issues with managing late renewals.
Birthdate error handling | Registrant Portal
If a new user bypasses the date-selector tool on the birthdate upon initial signup and instead manually enters an invalid date, the system will now prompt them to enter a new date instead of throwing a hard error.
Org unpaid invoice warning icon | Admin
If an organization has an unpaid invoice, you will now see that there is an orange icon on the invoices tab of the organization’s profile to indicate that there is an outstanding invoice. This is similar to how the icon for invoices works on a registrant’s profile.
Org profile update | Admin
Previously, profile updates for organization’s were displayed in the “other forms” section within both the organization’s profile and the general organizations tab. This issue has now been resolved. An organization’s profile updates will now correctly appear in the “profile update” tab of their profile and the “profile update” section of the main organizations tab.
Inconsistent display in the Org Profile Update search screen | Organizations
Previously, the Profile Update History icon was only showing the current status of the organization’s profile update. Now if you select the icon, you will see the full history of the of the profile update form.
Timeout on Mass Cancel Invoices | Accounting
Previously, the system would timeout if a user attempted to mass cancel many invoices at once. The system has been updated to run a job if more than 150 invoices have been selected in bulk. The system has also been optimized to better handle cancelling a number less than 150 invoices.
Payment Detail Report | Accounting
Previously, if you were to access the payment detail report that was available on a specific payment, the SID that was being displayed did not match the SID on the payment. This has now been updated.
Admin Comment on Form Timestamp | Admin
When an admin leaves a comment on a form, the system provides a timestamp. However, it was previously only providing a timestamp based on the time zone set in the client’s system. This meant that if an admin was physically in an EST time zone and left a comment, but the general system was set up as MST, the time stamp would show in MST time (2 hours behind when they actually made the comment). Moving forward, we have updated the logic so it will track the time zone based on the time zone of where the person was when they made the comment. Additionally, as an admin viewing an existing comment, you will see the time stamp in your time zone.
Consultation Request & Summary Text Not Displaying | Consultations
If you have more than one consultation in your system and you are viewing an individual consultation, you will see that there are arrows at the top to easily click to view the next consultation. However, if you used these arrows, you would not see the Request or Summary fields populated in the next consultation. This has now been resolved.
Sub-forms sending redundant emails | Admin
If a sub-form had it’s own set of status triggers, when the parent form was approved, it also caused the sub-form triggers to fire as well. This could lead to duplicate approval emails for example if a profile update and a renewal form were approved together.
Organization Merge Fields on invoice email templates | Accounting
Previously, only the base-person merge fields were available in email templates when using the Save & Email functionality from an invoice. This was previously set this way because the templates link back to the person who is receiving the email. However, we have now added the functionality so that an invoice being sent to an org can make use of org-merge fields in the email template.
