Release Notes: November 2025

The November 2025 release of Alinity was deployed to Test environments on November 10th and deployed to Production environments on November 20th. A summary of the changes included in this release appear below.

New Features

Auto-Save on Forms | Forms

This month, we released a feature that supports auto-saving data entered into forms. For example, if the internet disconnects briefly or a laptop is closed before the user clicks Save, the work will no longer be lost. The system now saves data locally in the browser, so when the user returns, their progress will still be there. There are a few caveats: if the user begins working on a different form, the previous auto-save will be replaced by the new form’s auto-save. When the person returns to their form, they should click save to officially save any in-progress work into the form. Please note that the auto-save does not include any documents that were uploaded.

The intent of this feature is not to replace the standard Save action, but to prevent lost work in cases where Save was not clicked or there was an internet outage. For administrators, auto-saved data will only appear when Edit is clicked on the form.

Consultation PDF Text Search | Consultations

With this month’s release, we’ve added the ability to search the contents of PDFs on the Consultations search page. This means that from the main search page, you can now look for documents containing specific text, and any consultations associated with those documents will appear in your search results.

Tags on search screens | Admin 

With this release, Alinity now displays tags directly on your search screens. This makes it easier to spot important information at a glance and helps you quickly identify records with specific tags when refining your searches.

Canada Post Address Validation Integration | Admin 

With this release, Alinity now supports connecting to a Canada Post account owned by your organization. This enables you to use the Canada Post address database directly in your forms, so when registrants or applicants enter or update their address, it can be validated against official Canada Post records. If you’d like to learn more or enable this feature, please contact our helpdesk. Note: this feature will not appear in your Alinity site unless you specifically request to have it enabled.


Feature Improvements 

Quick add contact to cases | Case Management

Alinity already provided the ability to use the quick add to create a contact while manually creating a complaint or consultation, without needing to leave the page to create the person’s profile. We’ve now extended this same capability to case management. When you’re setting up a case and the contact you need is not already in your system, you can click the quick add (+) button and create them immediately — without leaving the case page.

2-Factor Authentication exit in test environments | Admin Test

It is best practice to keep 2-factor authentication (2FA) enabled, even in test environments. However, when you are logging into multiple test accounts, it’s possible to make a login mistake during the 2FA step. In those cases, you could get stuck on a page asking for a 2FA code for a test account and have no easy way to return to the regular login screen without closing all browser tabs or clearing cache. To improve this experience, we’ve introduced a new “Cancel login” option in test environments. This does not bypass or disable 2FA — it simply allows you to exit the 2FA prompt and return to the standard test login page.

Rankings on register sections | Admin 

Alinity now allows you to set a custom order for your register sections. This is especially useful when applicants can choose from multiple sections, as it lets you place the most commonly selected options at the top of the list.

Latest Form Only | Registrations Page 

Alinity now lets you filter by the most recent form when searching on the Registrations page. Admins can choose to enable or disable this option as needed with a checkbox. If the filter is turned off, registrants with multiple registrations or forms may appear more than once in the results. When enabled, each registrant will appear only once, based on their latest form.


Bug Fixes

Org tags disappear from UI on search page | Organizations Search

Previously, we added the ability to view tags associated with organizations directly on the search page for better visibility. It was brought to our attention that if you performed a search, navigated to the second page of results, and then returned to the first page, the tags would no longer appear. The tags themselves were not removed — they simply stopped displaying on the search page. This issue has now been resolved.

Registration Queue Time Reports | Admin

We identified and resolved an issue affecting the queue time reporting tied to Person forms. In certain cases, the time values associated to these records were being counted twice, which resulted in inflated totals within those reports. This was a reporting-only defect — the underlying data was not duplicated or altered. This issue has now been corrected, and queue time calculations are once again accurate going forward.

Created Date/Time on Admin Review Widgets | Admin Dashboard

Previously, the admin review required widgets showed the “created” time as the moment the applicant clicked Submit, even if an invoice still needed to be paid. The widget correctly only showed forms actually sent for admin review, but the created time always reflected the submit button click. In scenarios where an invoice was due, the form wasn’t truly submitted until that invoice was paid, because it was not sent to admins before payment.

Example:

  1. Applicant clicks Submit on March 1st
  2. Applicant pays the submission fee on March 10th
  3. Admins first receive the form on their review widget March 10th — but the created date was showing March 1st

This made it appear as if the form had sat in admin review for 10 days, when in reality admins just received the form. This is now updated so the created time reflects the submit-button time (if no invoice was due) or the invoice payment time (if payment was required). The label “Created” on the admin widget now says “Updated” as well to be more accurate.

Mass withdraw functions on Registration search screen | Admin

Alinity includes an option for administrators to bulk-withdraw open forms. However, this function was not properly detecting corporate renewals or registrant renewals that were using person or organization forms. These items would appear in the search results, but the bulk withdraw process would not recognize them when selected. This issue has now been resolved.

Delete button not appearing on application forms | Admin

Alinity allows admins to delete forms when certain conditions are met — for example, the form has never been submitted or is in a non-withdrawn final status. However, the delete option was not appearing in the user interface for application forms that did meet these conditions. This has now been corrected. Please note, this fix does not yet apply to “person-forms.” This will be available for person-forms next month.

Minimum Image size on file uploads | Document Management

In some cases, applicants or registrants have uploaded document photos that are too small to read, which forces admins to return the form for updates. The applicant then has to resubmit with a larger image. Alinity will now enforce a minimum image size to prevent this extra step from occurring.

Hiding disabled custom fields | Admin

Alinity allows regulators to create custom fields to track data unique to their needs across various areas of the system. When a custom field’s Active toggle is turned off, the field will no longer be displayed, although any data previously entered will be retained. Previously, custom fields would continue to be shown even when the Active toggle was off, but editing of existing data was disabled.

Registration year attached to self-assessment | Self-Assessment

Previously, the registration year associated with a self-assessment was not visible on the registrant dashboard. This made it difficult for registrants with multiple self-assessments to know which one was linked to the learning plan they were working on. We’ve now updated the system so the registration year is clearly displayed.


Next release

The December 2025 release of Alinity is scheduled for deployment to production sites December 18th.
