Release Notes: September 2025

The September 2025 release of Alinity was deployed to Test environments on September 9th and was deployed to Production environments on September 18th. A summary of the changes included in this release appear below.

New Features

Custom fields on exams | Exams

Alinity now supports the ability for custom fields on exams. For example, you could have a custom field added to an exam titled “Extra Credit” which allows for some additional tracking capabilities depending on your requirements.

Apply unapplied payments interface | Payments

Alinity now provides an interface for both administrators and registrants to apply any unapplied payments on their profile when paying an invoice. This supports workflows where a payment was collected, but has since been unapplied (often due to extenuating circumstances or user error), and no refund is required. The system now prompts the user to apply any unapplied payments, if desired, while paying an invoice. Please note this does not include unapplied payments due to a Pre-Authorized Debit (PAD) program.


Feature Improvements 

Identifiers for Organizations and Corporations | Organizations

With this release, we’ve updated the Organizations page to allow organizations to have identifiers, similar to those available for registrants. Each organization can now be assigned a unique identifier number, with the ability to record and track any previous identifiers if applicable.

View exam instructions before timer starts | Exams

We’ve updated the functionality of timed exams in Alinity. Previously, the timer began as soon as registrants accessed the instructions page. Now, the timer will only start once they proceed past the instructions page.

Removing approved documents | Admin

We’ve added additional text that appears when using the eraser button to remove a document from the system. This message clarifies that you are not “un-approving” the document—you are permanently removing it. The goal of this update is to make the action clearer.

Searching content in consultations | Consultations

The Consultations Module now supports HTML searching. This means that you can now search for content in the request or summary fields from the main consultation search page. The key is to make sure you are clicking the (+) for the extended search. This may be helpful if you are trying to locate a specific consultation based on content but are unable to remember the title or registrant for example.

Handling of duplicate and voided payments | registrant portal

Sometimes, due to issues like slow internet or closing a browser tab too quickly, a payment may be processed by Elavon but Alinity doesn’t receive confirmation, leaving the payment in a “Pending” state. In these cases, registrants must wait 15 minutes before trying again. With this release, if the payment is still pending after 15 minutes and the registrant retries, Alinity will automatically check Elavon for a processor message. If no record is found, the pending payment is cancelled and the registrant can try again. If a successful record is found, Alinity applies the payment and notifies the registrant that their earlier attempt was successful.


Bug Fixes

Missing translations on registrant portal | registrant portal

In bilingual configurations, some labels in the member portal were still displaying in English even when a member’s language preference was set to French. These labels have now been corrected.

Unclear error message when adding non-allowed emails to template in test | Email

In the test system, each Alinity client must follow a specific email format to add test email addresses and send messages to those addresses. This safeguard ensures that real email addresses—such as those entered in the CC field—cannot be used, preventing test emails from being sent to real recipients. Previously, the error message shown when an invalid test email address was entered did not provide clear guidance. This has now been corrected. For details on the required format, please refer to the June update.

Revenue by catalog item not displaying parameter dates | Accounting

Alinity has a Revenue by Catalog Item Detail report that lists catalog items that appear on invoices, showing totals, detailed invoice entries, and the associated member or organization. We’ve updated it so that when you select invoice and/or payment date ranges, those dates now display in the report at the top to make it more clear what was selected when the report was generated.

Person forms excluded from registration reports | Reports

Previously, built-in reports such as Completion Time by Age and Registrant Renewal Status Summary were not pulling data from person forms. This issue has now been corrected.

Organization tags overflowing from container | Organizations

When many tags—or tags with long text—were added to organizations, the tag text could extend beyond its container in the user interface. This has been updated so that tags now wrap when they fill the available space.

Exam Summary Show to Member | Exams

Alinity supports hosting online exams that can be configured through the user interface. When an exam was set to hide content on submit and show summary to member was disabled, the PDF was still visible to the member. This has now been corrected so the PDF is properly hidden.

Register Change Labeling contains year instead of section | Member Portal

On the member’s dashboard, in-progress registration changes were displaying the registration year instead of the correct section. This has now been fixed, and the dashboard clearly shows the section the member is moving into.

Reviewer Widget Size Inconsistency | Member Portal

On the member dashboard, the reviewer widgets had inconsistently sized cells, causing awkward spacing of the sort icon and line breaks. This has now been corrected for a consistent display.

Document folder year incorrect with person form renewals | Member Portal

In a member profile, the Documents tab automatically creates a folder for renewal-related documents. When person forms were used for the renewal, the folder was incorrectly labeled with the wrong year. This has now been corrected.

Invoice Instructions not saving on invoice creation | Accounting

In the previous release, we introduced the ability to add instructions to invoices. This month, we fixed a bug where those instructions did not save correctly unless the invoice was edited immediately after creation. This has now been resolved.


Next release

The October release of Alinity is scheduled for deployment to production sites October 26, 2025.
